Global Energy Leader Goes Live with a New ServiceNow SPM Solution
At the end of February 2026, together with the Client teams, we successfully launched a new ServiceNow Strategic Portfolio Management (SPM) solution for a global Energy leader, replacing a legacy instance that had become heavily customized over the years and increasingly difficult to enhance, upgrade, and support.
This go-live marks more than a system replacement. It represents a strategic reset: a return to an out-of-the-box model designed for scalability, upgradeability, and long-term sustainability.
From Customization Complexity to Scalable Standardization
The Client – a global energy sector player with operations across Europe, US, and Asia – had used ServiceNow for many years. Over time, extensive customization introduced technical debt and limited agility.
In November 2024, a global transformation program to re-implement SPM using modern platform capabilities and standardized design principles, was initiated.
From day one, our delivery team worked hand-in-hand with the Client team aligning governance, processes, and technical architecture to support a truly global operating model.
Full-Scope SPM Implementation at Enterprise Scale
The new SPM platform supports the entire product capability spectrum, including:
- Demand Management
- Project Management
- Strategic Portfolio Management
- Cost & Expense Management
- Resource Management
- Time Writing
- Enterprise Reporting.
This implementation made extensive use of the newest SPM functionality, including recently released capabilities not previously deployed at this scale globally. Throughout the program, we collaborated closely with ServiceNow product teams – both leveraging the roadmap and providing input to support large global enterprise requirements.
The system also includes client-specific functionality while maintaining a strict “configure over customize” principle to ensure future upgrade readiness.
Implementation in numbers
- ~1,000 SPM professional license holders actively managing project portfolios
- ~3,000 users working on those project and submitting timesheets globally
- 2 million records migrated (Projects, Cost Plans, Resource Assignments, Expenses)
- ~300 user stories delivered
- 500 test cases executed
- 400 update sets promoted to Production
- 3 major releases delivered prior to go-live
Data migration alone formed a dedicated sub-project. Even with parallel migration threads, the final production migration required approximately six days of server processing time – underscoring the scale and complexity of this transformation.
Enterprise Integration
The platform integrates with key enterprise systems for:
- User and employee profile synchronization
- Organizational and data visibility structures
- Financial data imports (cost centers, vendors, expense lines, exchange rates)
This ensures that SPM is not operating in isolation, but fully embedded into the Client’s enterprise ecosystem.
Organizational Change at Global Scale
Technology alone does not drive transformation. Organizational Change Management was a core success factor and included:
- Global user training programs
- Structured testing cycles
- Executive communications
- Dedicated SharePoint information hubs
- Leadership “Fireside Chat” video messages
With thousands of users across multiple time zones, structured engagement and sponsorship were critical to adoption.
